These Terms and Conditions set out the basis on which Man and Van Richmond provides man and van, removals and related services. By booking or using our services, you agree to be bound by these Terms and Conditions. Please read them carefully before placing a booking.

1. Definitions

In these Terms and Conditions, the following words have the meanings given:

1.1 Client means the person, company or organisation booking the service or benefiting from the service.

1.2 We, us, our means Man and Van Richmond, the provider of removal and man and van services.

1.3 Services means any transport, removal, loading, unloading, packing, storage, or related services we provide.

1.4 Vehicle means any van or other vehicle we use to provide the services.

1.5 Goods means the items that you ask us to move, transport, handle, pack, store or dispose of.

1.6 Contract means the agreement formed when you confirm a booking with us, subject to these Terms and Conditions.

2. Scope of Services

2.1 We provide man and van, home and office removals, local transport, loading and unloading, and related services within Richmond and surrounding areas, as well as to and from other locations in the United Kingdom as agreed in advance.

2.2 The specific services to be supplied will be described in your booking confirmation, including the type and size of vehicle, number of operatives, estimated time, date, and service location.

2.3 Any additional services requested on the day of the move, such as extra stops, additional labour, or extended time, will be subject to availability and may incur extra charges.

3. Booking Process

3.1 You may request a quotation by providing accurate information about your requirements, including property access details, number and nature of items, distance, and preferred dates and times.

3.2 Quotations are based on the information you supply. If that information is incomplete or inaccurate, we may adjust the price or refuse to carry out part or all of the service.

3.3 A booking is only confirmed when we have provided a clear confirmation, and you have accepted the quoted rate and any applicable terms relating to deposits or pre-payment.

3.4 We reserve the right to decline any booking request at our discretion.

3.5 You are responsible for checking that all details in the quotation and booking confirmation are correct. Any amendments should be requested as soon as possible. Changes may affect pricing and our ability to fulfil the booking at the requested time.

4. Pricing and Payments

4.1 Prices may be based on hourly rates, fixed rates, distance, or a combination, as stated in your quotation.

4.2 Unless otherwise stated, prices are exclusive of parking charges, congestion charges, tolls, ferry fees, and other third-party costs, which will be added to your final bill where applicable.

4.3 We may require a deposit or full pre-payment to secure your booking. Any deposit requirements will be communicated at the time of booking.

4.4 Payment methods will be advised in your quotation or booking confirmation. Where payment is due on completion of the service, it must be made immediately upon completion, unless otherwise agreed in writing.

4.5 If payment is not received when due, we reserve the right to charge interest on overdue amounts and may retain possession of your goods until full payment is received, subject to applicable law.

4.6 Any additional work requested or required that falls outside the original booking may be charged at our prevailing rates. This can include extra time beyond the agreed booking, additional journeys, waiting time due to delays beyond our control, or the need for extra operatives.

5. Cancellations and Changes

5.1 You may cancel or amend your booking by giving us notice. The amount of notice required and any applicable charges will depend on how close to the service date you cancel.

5.2 If you cancel with adequate notice, any deposit paid may be refunded or transferred, less any reasonable administrative costs. If you cancel with short notice, you may forfeit part or all of your deposit and may be charged a cancellation fee.

5.3 If you significantly change the date, time, or scope of your booking, this may be treated as a cancellation of the original booking and the creation of a new one. Charges may apply.

5.4 We will make reasonable efforts to accommodate requested changes, but all amendments are subject to our availability and may result in revised pricing.

5.5 We reserve the right to cancel or postpone a booking due to reasons beyond our control, including but not limited to severe weather, vehicle breakdown, staff illness, accidents, or safety concerns. In such cases, we will offer a new date or a refund of any pre-payments made, but we will not be liable for any indirect or consequential losses you may incur.

6. Your Responsibilities

6.1 You must ensure that there is suitable and safe access to both collection and delivery addresses, including adequate parking for our vehicle and clear access to the premises.

6.2 It is your responsibility to arrange and pay for any necessary parking permits, visitor permits, or suspension of restrictions. Any fines or penalties arising from insufficient arrangements may be charged to you.

6.3 You must pack, secure and prepare your goods appropriately for transport unless you have booked a packing service with us. Fragile or valuable items should be carefully wrapped and clearly labelled.

6.4 You must be present, or have an authorised representative present, at the collection and delivery addresses throughout the move to provide access, instructions, and to sign any paperwork.

6.5 You are responsible for checking that nothing is left behind at the collection address and that all goods are delivered and placed where you require at the delivery address before our team leaves.

6.6 You must inform us in advance of any items that may pose particular difficulties, such as very heavy, oversize or delicate items, or items that require special handling, dismantling or reassembly.

7. Items We Do Not Move

7.1 We do not transport certain items, including but not limited to:

a) Illegal goods or substances.
b) Explosives, firearms, ammunition or weapons.
c) Hazardous, toxic, flammable or corrosive materials.
d) Perishable goods requiring refrigeration or special storage.
e) Live animals or plants unless expressly agreed in writing.
f) Cash, precious metals, jewellery, important documents or items of exceptional value, unless specifically agreed and appropriately insured.

7.2 If we discover prohibited items among your goods, we may refuse to move them, and you may be charged for any associated delays or costs.

8. Liability and Limitations

8.1 We will exercise reasonable care and skill in carrying out the services. However, our liability is subject to the limitations set out in this section.

8.2 You must notify us in writing of any loss or damage as soon as reasonably possible and in any event within a reasonable time of the service being completed, so that we can investigate.

8.3 Our liability for loss or damage to goods, where it arises from our negligence or breach of contract, will be limited to a reasonable amount, taking into account the age, condition and value of the affected items and any insurance arrangements you have made.

8.4 We will not be liable for:

a) Loss or damage arising from your failure to properly pack or secure items, unless we have provided packing services for those items.
b) Loss or damage arising from defects in the goods or their contents.
c) Normal wear and tear, or damage to items that are inherently fragile.
d) Loss of data or information from computers, electronics or storage devices.
e) Indirect or consequential losses, such as loss of earnings, loss of profit, or loss of opportunity.

8.5 We will not be responsible for damage to property where:

a) Access is restricted, awkward, or requires moving items through narrow stairways, low doors, or tight corners and you have been advised of the risks, or ought reasonably to have been aware of them.
b) You have instructed our team to undertake actions against our advice, such as forcing items through restricted spaces.

8.6 You are strongly advised to arrange suitable insurance coverage for your goods in transit and during handling, especially for high value items.

9. Delays and Events Beyond Our Control

9.1 While we will use reasonable efforts to adhere to agreed timeframes, all arrival and completion times are estimates and may be affected by traffic, accidents, weather conditions, road closures, or other events beyond our control.

9.2 We are not liable for delays caused by circumstances outside our reasonable control. If such delays occur, we will complete the service as soon as reasonably possible.

9.3 Waiting time fees or extra charges may apply where delays are caused by your actions or omissions, including but not limited to late access, keys not being available, incomplete packing, or inaccurate information about access or item quantities.

10. Parking, Congestion and Access Charges

10.1 You are responsible for ensuring suitable legal parking for our vehicle at both collection and delivery addresses.

10.2 Any parking charges, congestion charges, clean air zone charges, tolls or similar fees incurred in carrying out the services will be added to your final bill where applicable.

10.3 If our vehicle receives a parking fine or penalty due to a lack of suitable parking arrangements or your instructions to park in a restricted area, you may be responsible for the cost of that penalty.

11. Waste and Disposal Regulations

11.1 We operate in compliance with UK waste and environmental regulations. We are not a general waste disposal company and will only remove and dispose of items where this has been specifically agreed as part of the service.

11.2 Where disposal or clearance services are agreed, we will only transport waste to authorised facilities or recycling centres and may charge additional fees for such services.

11.3 You must not present for removal any hazardous or regulated waste, including chemicals, asbestos, medical waste, flammable liquids, gas cylinders or similar materials, unless expressly agreed and properly packaged and labelled in accordance with relevant regulations.

11.4 You remain responsible for ensuring that any items you request us to dispose of are lawfully permitted for disposal and are not restricted or controlled items. We may refuse to take any items we believe are unsafe, illegal or inappropriate for transport or disposal.

12. Complaints

12.1 If you are dissatisfied with any aspect of our services, you should raise the issue with us as soon as possible so that we have an opportunity to investigate and, where appropriate, put matters right.

12.2 Any complaint regarding loss or damage to goods should include details of the items involved, dates, times, and any supporting evidence or photographs.

12.3 We will aim to respond to complaints within a reasonable time and may request additional information to help us investigate.

13. Data Protection and Privacy

13.1 We may collect and process personal information about you in order to provide our services, manage bookings, take payments, and communicate with you.

13.2 We will handle your personal information in accordance with applicable data protection laws and only retain it for as long as necessary for the purposes for which it was collected or as required by law.

13.3 By using our services, you consent to the processing of your personal data as described in this clause and in any privacy notices we may provide.

14. Termination

14.1 We may terminate the contract or suspend services immediately if:

a) You fail to pay any amount due when required.
b) You act in an abusive, threatening or unsafe manner towards our staff.
c) You request us to undertake illegal or unsafe activities.
d) We reasonably believe that proceeding with the service would pose a risk to health, safety, property or our vehicle.

14.2 If we terminate the contract due to your breach, you may be liable for any losses, costs or charges we incur as a result.

15. Governing Law and Jurisdiction

15.1 These Terms and Conditions and any contract between you and us are governed by and shall be construed in accordance with the laws of England and Wales.

15.2 Any disputes arising out of or in connection with these Terms and Conditions or the provision of our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.

16. General Provisions

16.1 If any provision of these Terms and Conditions is found to be invalid, illegal or unenforceable, the remaining provisions shall remain in full force and effect.

16.2 No waiver by us of any breach of these Terms and Conditions shall be considered a waiver of any subsequent breach.

16.3 We may update or amend these Terms and Conditions from time to time. The version applicable to your booking will be the version in force at the time you make your booking.

16.4 These Terms and Conditions, together with your quotation and booking confirmation, constitute the entire agreement between you and us in relation to the services and supersede any prior discussions or understandings.
